Shuttle Booking Software: The 2026 Buyer's Checklist

8 min read · Updated · By Sunil Shrestha, founder of Shuttle.Software

Shuttle software guides tend to agree on the feature list and say little about price, which is the part buyers cannot easily check. This checklist covers both: what a shuttle operation needs, what a small operator can defer, and the questions to put to any vendor, including us, before you sign.

Why shuttles need different software from taxis and limos

A taxi or limo system dispatches one job to one vehicle. A shuttle sells seats on a departure, so the system has to count seats per run, release them when a booking is cancelled or unpaid, and keep one manifest per vehicle.

Many general-purpose platforms were built for sedans first and added shuttle features later. They can run a route, but seat counts, manifests and boarding checks are often thinner than a shuttle-first product. Check this in a live demo rather than on a feature page.

The features that matter on day one

These are the capabilities a small operator uses daily. Test each one with your own routes.

 • Live seat inventory. Departures lock at vehicle capacity and riders see seats left.
 • Per-seat and private booking. Both on one system, with different payment rules for each.
 • Route and timetable logic. Fixed schedules, loops and fares by stop pair or zone.
 • Payments. Card payments, deposits and refunds, and clarity on who charges what.
 • Dispatch board and driver manifests. Assign runs, move passengers and push manifests to phones.
 • Boarding verification. QR or manifest check-in so no-shows and walk-ons are recorded.
 • Notifications. SMS and email confirmations and change alerts.
 • Blackout dates and capacity blocks. Protect peak days and avoid overbooking.

What a growing operator can safely defer

Not every feature earns its cost in year one. Multi-depot operations, dynamic routing, automated driver settlement, deep business-intelligence dashboards and extensive API integrations matter at scale, but a one-to-three vehicle operator is usually better served by a stable booking and dispatch core. Ask how and when you can add them, and what they cost.

Airport work adds flight awareness

If you serve airports, flight tracking changes the day. Pickups linked to a flight number can be re-timed when the flight moves, with the driver manifest and rider notification updating together. Ask any vendor whether this is automatic, which flights it covers and whether it carries an extra fee.

Reporting contract holders and owners actually use

If your customer is an employer, hotel or campus, reporting drives renewals. Look for ridership by route and stop, capacity utilisation, no-shows, on-time performance and revenue by route, with export to CSV for accounting.

Pricing questions to ask every vendor

Published prices make comparison easy, but many shuttle vendors only offer a demo request or a custom quote. Whatever the model, get answers in writing.

Pricing questions to ask every vendor
QuestionWhy it matters
What is the monthly fee at my fleet size?Plans often change by vehicles, drivers, routes or seats.
Is there a setup or implementation fee?One-time costs change the year-one total.
Are there per-trip, per-seat or commission charges?Variable fees grow as your routes fill up.
Which features are add-on modules?Shuttle, payments or branded apps may be extra.
How long until I am live, and what do you need from me?Go-live time depends on your data and routes.
Can I cancel monthly and export my data?Contract length and exit terms set your risk.

How we answer those questions

Shuttle.Software publishes its plans: $99 per month for 1–3 vehicles, $199 for 4–12 and $349 for 13–30, with a one-time setup of $399, $499 or $699, 0% booking commission and unlimited bookings and drivers within each band. Fleets of 31 or more vehicles are quoted individually. Billing is monthly. There is no free trial, but you can run test bookings in a branded sandbox before any charge.

No single product suits every operation. If you run a mixed black-car fleet, a limo-first platform may fit better; if seats are your product, test shuttle-first options side by side.

A simple way to run the evaluation

Pick your two hardest routes and ask each vendor to configure them in a demo. Book a seat, cancel it, delay a flight, assign a driver and pull a ridership report. The vendor that handles all five without workarounds is usually the right fit.

Frequently asked questions

What features should shuttle booking software have?

Live seat inventory, per-seat and private booking, route and timetable logic, payments with deposits and refunds, a dispatch board, driver manifests with boarding checks, notifications, and blackout or capacity controls.

How is shuttle software different from taxi dispatch software?

Shuttle software sells and counts seats on scheduled or shared departures. Taxi dispatch assigns one job to one vehicle, so seat counts, manifests and reporting are usually weaker.

Do small shuttle operators need a rider app?

Not always. A booking website, widget or front-desk booking and a tracking link can be enough at first. Branded passenger apps matter more as you grow.

How much does shuttle software cost for a small fleet?

Prices vary by vendor and often combine a monthly fee, setup and per-trip or add-on charges. Shuttle.Software starts at $99 per month plus $399 setup for 1–3 vehicles with 0% booking commission.

Does Shuttle.Software have a free trial?

No. You can book a live demo and run test bookings in a branded sandbox before any charge.

Ready to move?

Shuttle.Software runs per-seat booking, private transfers, dispatch and the driver app from one record — $99/month with a one-time $399 setup, 0% booking commission, live in 3–5 working days.
